About The Role:
We are seeking a proactive, dependable, and resourceful Operations Assistant to support the daily functionality and readiness of our office. In this hands-on role, you will assist with mailroom and shipping services, office and conference room setups, furniture assembly and moves, basic maintenance and repairs, document production, AV and event support, onboarding and offboarding logistics, and other operational needs. The ideal candidate communicates effectively, uses sound judgment and initiative to resolve routine issues within their training and ability, escalates complex or specialized matters appropriately, supports building engineers and vendors on-site, and is eager to expand their operational knowledge over time.

Key Responsibilities:
  • Facilities Maintenance & Repairs: Performs routine office maintenance and minor repairs, addresses straightforward issues within their training and ability, and escalates complex or specialized needs appropriately.
  • Furniture, Moves & Office Setup: Assembles, relocates, and adjusts furniture and equipment; sets up meeting spaces; supports workstation moves and reconfigurations; and helps maintain accurate NYC floor plans.
  • Office Cleanouts & Organization: Completes office cleanouts, organizes materials, breaks down boxes, and transports furniture, equipment, and unwanted items to storage, recycling, or disposal areas in accordance with building procedures.
  • Mailroom, Shipping & Messenger Services: Processes incoming and outgoing packages and coordinates FedEx, courier, interoffice, tri-state messenger, and time-sensitive pickup and delivery requests.
  • AV & Document Production Support: Provides backup AV room setups, health checks, and first-level troubleshooting, along with printing, scanning, binding, document assembly, and basic printer support.
  • Facilities & Vendor Coordination: Supports building engineers, vendors, and service providers by coordinating access, escorting them on-site, assisting when appropriate, reporting status, and confirming assigned work is completed.
  • Onboarding & Offboarding: Supports workspace preparation, equipment handling, and other physical logistics for employee onboarding and offboarding.
  • Daily Operations & Emergency Support: Handles partner lunch pickups and deliveries, serves as an emergency response Warden, and completes other routine physical and operational tasks and projects as assigned.
  • Training, Improvement & Team Contribution: Builds operational skills by working with Office Operations, building engineers, vendors, and service providers; recommends practical improvements; and contributes to team goals as needed.

Minimum Qualifications:
  • 1–2 years of related experience in office operations, facilities, mailroom, shipping, or a similar support environment.
  • Comfortable operating and performing basic troubleshooting for standard office equipment, including copiers, scanners, and printers.
  • Strong interpersonal, communication, relationship-building, analytical, and problem-solving skills.
  • Collaborative, dependable, detail-oriented, and able to complete tasks with limited supervision.
  • Proficiency in Microsoft Word, Excel, and Outlook.
  • Willingness to learn new skills and take on a variety of hands-on operational responsibilities
  • Takes an entrepreneurial, solutions-oriented approach to problem-solving and improvement.
  • Takes ownership of assigned work, follows through on commitments, and works effectively with limited supervision.
  • Actively seeks feedback and applies it to strengthen performance and support continued development.

Estimated compensation range:  $30/hr - $32hr (This is a non-exempt role, overtime eligible)
